ASSET MANAGEMENT: Maximizing your property’s net operating income (NOI).
MARKETING: Demar takes responsibility for marketing vacancies for lease by whatever means that have proven effective, such as banners, flyers, signs on lease spaces, Costar, Loopnet, Craigslist, and email blasts. A record of calls of prospective tenants is kept and follow up calls are made to prospective tenants. Market surveys are done to ascertain competitive market rent in any particular location.
LEASING: Marketing vacancies for rent by property leasing signage, banners and flyers. Listing in Costar, Loopnet and Craigslist. Showing units to prospective tenants including evening and weekend hours when necessary. Prospects interested in leasing a unit will fill out a detailed rental application and provide identification such as drivers licenses. We then verify information on the application by calling previous landlords, running a full credit check and background check through Tenant Background Search. Checking all forms of advertising on the business such as website and social media accounts. Once a thorough search is completed and a record of financial and personal responsibility has been established it will be forwarded to the owner for acceptance.
COLLECTION OF RENT: Monthly rent statements are sent to each tenant by mail or email. Rental payments can be sent to our P.O. Box and will be copied for record keeping, recorded in Rent Manager and then deposited into the owners bank account. We continuously monitor rent collection and contact any late payers immediately by phone, email, default notices and statements. If payment is not made timely we will pursue all remedies available under the lease and at law, including lockout and filing eviction and reporting to our collection agency.
BUILDING MAINTENANCE: We make frequent/weekly visits to the property for inspections. We have dedicated, insured contractors we work closely with that can handle all common area repairs and can do complete turn key maintenance on vacant units. We will bid out the scope of the work to be done to have competitive numbers and supervise the contractor to ensure the work is completed in a timely manner. We answer the phone 24/7 to be available for any building/tenant emergencies so the problem can be addressed immediately.
FACILITY OPERATIONS: Negotiate, schedule and monitor maintenance and facility operations such as landscaping, plumbing, lighting, waste disposal, building supplies and other professional services.
ACCOUNTABILITY AND RECORD KEEPING: Keeping an accurate “paper trail” is essential. Provide accurate recording and bookkeeping operations for all required expenditures and accounts receivable in Rent Manager. Maintain monthly operation reports representing all revenue, expenses, distributions to owners, monthly/year-end profit and loss, trail balance general ledgers, balance sheet and applicable tax return information. Reconciliation of bank accounts are included in the financials. Annual budgeting and income forcasting. Yearly CAM reconciliations for applicable leases and mailing out statements to tenants with the reconciliation.
TENANT RELATIONS: Cultivate long term tenant relationships. Act as a liaison between the owners and the tenants to resolve property issues in an equitable manner. Tenant retention – Negotiate lease renewals 60 days prior to lease expiration or as requested by the owner. Tenant retention is critical to the success of your investment. Review and enforce lease agreements for compliance.
